6. The club will provide clear guidance to staff and volunteers on appropriate behaviour and boundaries when working with children or vulnerable adults. This will include guidance on physical contact, communication, and confidentiality.
7. The club will regularly review and update its safe recruitment policy and procedures to ensure that they remain effective and up to date with any changes in legislation or guidance.
8. Any concerns or allegations of inappropriate behaviour by staff or volunteers towards children or vulnerable adults will be taken seriously and dealt with promptly and appropriately. This may include disciplinary action, suspension, or referral to external agencies.

5. All reports of bullying will be investigated promptly and confidentially. If it is determined that bullying has occurred, appropriate action will be taken to stop the behaviour and support the victim.
6. We will provide education and training to all members on how to recognize and prevent bullying. We will also promote positive behaviours, such as respect, inclusivity, and kindness, through our programs and activities.
7. Retaliation against anyone who reports bullying or cooperates in an investigation is strictly prohibited and will result in disciplinary action.

1. The changing rooms are available for use by all members of the club.

4. The club is not responsible for any lost or stolen items. Please do not leave valuables in the changing rooms.
5. Members are expected to always wear appropriate clothing in the changing rooms. Please do not change clothes in public areas.
6. The use of cameras or any recording devices in the changing rooms is strictly prohibited.
7. Members should report any maintenance or hygiene issues to a staff member or management immediately.
8. The changing rooms will be closed at the end of each day, and any items left behind will be removed and disposed of.
9. The club reserves the right to refuse access to the changing rooms to any member who violates this policy or behaves in an inappropriate manner.

Photograph & Filming Policy

The Hill reserves the right to monitor all online activity related to the club, including social media, email, and messaging apps. This is to ensure that members are adhering to the guidelines outlined in this policy.

Members should only communicate with other members or coaches through official channels provided by the club. This includes email addresses, messaging apps, or social media accounts that are specifically designated for club communication.

Any communication between coaches and minors must be done in a professional and appropriate manner. Coaches should not engage in any form of inappropriate behaviour or communication with minors, including any behaviour that could be perceived as grooming.

Any violation of this policy may result in disciplinary action, up to and including suspension or termination of membership. We are committed to creating a safe and respectful environment for all members, both online and offline.

If the issue is not resolved informally or is of a more serious nature:

Submit the Complaint in Writing:

Address the complaint to the Club Manager, Chairperson, or designated Complaints Officer.

Dates, times, and names of those involved (if applicable).

Desired resolution.

Investigation Process:

An impartial investigation will be conducted by a relevant club representative.

This may involve meetings with the complainant and other parties involved.

Outcome:

A written response will be provided within 7 working days of acknowledgment, summarizing the findings and any actions to be taken.

If the complainant is dissatisfied with the outcome, they may appeal to the Club Committee within 7 days of receiving the decision.

The appeal will be reviewed, and a final decision will be communicated within 14 working days.

This policy sets out how Ther Hill will manage breaches of conduct, safeguarding, and behaviour standards among members, players, parents, coaches, officials, and visitors.It ensures fairness, consistency, and compliance with the Lawn Tennis Association (LTA) Rules and Regulations.

Scope

This policy applies to:

All members, players, coaches, staff, and volunteers at Hazelwood LTSC;

Visitors and parents/guardians attending the venue or representing the club;

All club activities, competitions, and events held on or off-site.

Principles

All disciplinary matters will be handled fairly, promptly, and confidentially.

The club will act in accordance with LTA policies, including the LTA Code of Conduct, Safeguarding Policy, and Fair Play Values.

Sanctions will be proportionate to the behaviour in question.

Everyone has the right to be heard and to appeal decisions.

Standards of Conduct

Members, players, parents, and coaches are expected to:

Treat others with respect and courtesy always.

Uphold LTA Fair Play Values: enjoyment, respect, teamwork, and effort.

Follow club rules, court booking procedures, and dress codes.

Refrain from verbal, physical, or online abuse, bullying, or harassment.

Respect officials, coaches, and volunteers.

Avoid bringing the club or the sport into disrepute.

Reporting a Breach

Concerns about conduct may be reported to:

The Club Welfare Officer (for safeguarding or welfare issues), or

A Committee Member (for general disciplinary matters).

Reports should include as much detail as possible (dates, witnesses, description of incident). Anonymous reports will be considered where possible but may limit the club’s ability to act.

Investigation Process

Initial Review

The Welfare Officer or Disciplinary Panel will review the report.

If the issue involves safeguarding, it will be referred to the LTA Safeguarding Team immediately.

Informal Resolution (if appropriate)

For minor issues, an informal discussion or mediation may resolve the matter.

Formal Investigation

The individual(s) involved will be informed in writing of the allegation and given the opportunity to respond.

Witness statements may be taken.

The Disciplinary Panel (minimum of three impartial members) will consider the evidence.

Possible Outcomes and Sanctions

Depending on the severity of the breach, the club may apply one or more of the following:

Verbal or written warning

Temporary suspension of membership or court access

Removal from team selection or events

Mandatory behaviour improvement measures

Termination of membership

Referral to the LTA Disciplinary Panel or external authorities if required

All decisions will be confirmed in writing and recorded by the club.

Right of Appeal

Individuals have 7 days from the written decision to lodge an appeal.

Appeals must be submitted in writing to the Club Chair (or a designated committee member not involved in the initial decision).

An independent Appeal Panel will review the case and make a final decision.

The outcome of the appeal will be final within the club setting.

Confidentiality

All disciplinary matters will be handled sensitively.Information will only be shared with those who need to know, in line with GDPR and LTA safeguarding procedures.

Review of Policy

This policy will be reviewed annually by the Club management or sooner if required by LTA guidance or legislative change.

a. Whistle blower email: A dedicated hotline or email address shall be established to receive confidential and anonymous reports. The contact information for the hotline or email address should be prominently displayed in areas accessible to all club members.

b. Designated Reporting Person: An individual shall be designated as the club's reporting person who can receive and address whistle blower reports. The identity and contact details of the designated reporting person shall be communicated to all club members and prominently displayed within the club premises.

c. Alternative Reporting Channels: In addition to the hotline or email address, individuals may choose to report their concerns directly to a senior club official or a designated member of the management team.

Reporting Procedure

a. Confidentiality: All reports received, whether anonymous or not, will be fully treated confidentially possible. The club will make reasonable efforts to protect the identity of the whistle blower, if requested, while ensuring a fair and thorough investigation.

b. Reporting Content: Whistle blower reports should contain as much detail as possible, including specific incidents, dates, times, locations, individuals involved, and any supporting evidence. The more information provided, the easier it will be to investigate and address the concerns effectively.

c. Protection Against Retaliation: The club strictly prohibits any form of retaliation or adverse action against individuals who report concerns in good faith. Retaliation against whistle blowers will be treated as a serious offense and may result in disciplinary action, including termination or legal consequences.

d. False Reporting: Whistle blowers are expected to act in good faith and provide accurate information to the best of their knowledge. Knowingly making false accusations or providing misleading information may result in disciplinary action.

Investigation and Resolution

a. Initial Assessment: Upon receiving a whistle blower report, the designated reporting person or an appropriate committee member will conduct a preliminary assessment to determine the seriousness and credibility of the concerns raised.

b. Investigation Process: If the concerns are deemed credible, an impartial investigation will be initiated. The investigation will be carried out promptly, thoroughly, and with due respect for the rights of all parties involved.

c. Resolution and Corrective Actions: Once the investigation is concluded, appropriate actions will be taken to address the concerns identified. This may include disciplinary action, retraining, policy revisions, or any other measures necessary to prevent future occurrences.
